Offrd is the AI HR platform Indian SMEs use to draft offer letters, run onboarding, set salary structures and create HR policies, all from one account. AI lives inside specific screens where the work is mostly writing or checking. PF, ESI, Professional Tax and gratuity run on rule based logic so the numbers stay auditable. Setup takes under two minutes and new accounts get 50 free credits.

What AI HR software means in 2026 for an Indian SME

An AI HR platform is a regular HR system with model assistance threaded through the parts of the work that involve writing, reading or reviewing. Offer letters get drafted faster. Onboarding records get scanned for missing pieces. Policies get assembled from a question and answer flow instead of starting from a blank page. The data layer underneath, the employee directory, salary structure and statutory engine, stays exactly as you would expect from a serious HRMS.

The category has gathered a lot of fluff. Vendor sites talk about "AI driven hiring", "intelligent payroll" and "predictive HR". For a 30 person logistics firm in Pune or a 120 person studio in Mumbai, the only thing that matters is whether the software actually shaves a few hours a week off real tasks. Offrd is built around that question. Where AI saves time, it shows up. Where rules and configuration are the right answer, the rules sit in the open.

This page walks through the four HR workflows where AI sits inside Offrd, then covers the rule based foundation that surrounds them. By the end you will know what the platform does, what it does not do, and whether it fits the way your team works.

Offer letters, with AI inside the editor

Drafting an offer letter is the workflow most small Indian companies want to fix first. The candidate has accepted in principle. The clock is on. The longer the offer takes to land, the higher the odds of a counter from their current employer. Offrd's offer letter generator is the single most used module in the platform, and AI sits right in the middle of it.

Picking a template that fits the role

The wizard opens with four templates: Default, Contract, Internship and V2. Each one carries the standard Indian clause set, with the sections that matter, like notice period during Probation versus after Confirmation, salary annexure references, intellectual property, and confidentiality. You pick the template that matches the role. The text loads into a rich editor.

Salary structure, calculated by the engine

Annual CTC goes in at the top. The salary engine splits it into Basic at the default 50 percent of CTC, HRA at 40 percent of monthly Basic, and the auto balancing Special Allowance that reconciles the structure to the total. EPF is calculated at 12 percent on each side. ESI applies at 0.75 percent for the employee and 3.25 percent for the employer when the gross qualifies. Professional Tax pulls the right slab from your state configuration. Gratuity is computed from Basic and surfaces inside the salary view. The Incentive toggle adds variable pay if the role has it. Yearly Medical Insurance and Premium fields take their inputs separately.

None of this uses AI. It is rule based, configurable, and visible in the editor before you send the letter. Your CA can read it. An EPFO inspector can read it. That is on purpose.

Edit Content with AI, on the prose around the numbers

The clauses around the salary table are where wording starts to matter. Role description. Reporting line. The bit on confidentiality. The sentence on probation outcomes. Most teams have a draft they have copied around for years, with the rough edges still in place.

Inside the editor, select a clause and click Edit Content with AI. The button rewrites that selection in cleaner professional English. You see the rewrite in place. Accept it, edit further, or revert to the original. Nothing is saved until you save. The model is not loose in the document. It only acts on what you select, and only when you ask.

This is the part of the offer letter workflow that used to take the longest, especially for hires across function and seniority. With the editor doing the rewrite, a Senior Software Engineer offer and an Account Executive offer can both go out the same afternoon, each with the wording adjusted to fit the role.

Annexures, signatures and dispatch

Annexure II (Confidentiality Agreement) and Annexure III (Compensation Structure) attach automatically. Set the Offer Valid Till date. Pick the signatory name and designation, usually HR Manager or CEO. Use the e signature integration, then click Send Offer Letter. The candidate gets the offer by email. The status moves to Sent. The record stays under the candidate so you can track acceptance and convert them to an employee when they accept.

Scenario

A Bengaluru fintech with 35 people has just made offers to two engineers and a designer. Each role has different CTC, different reporting lines and a different bit of language around intellectual property. The HR generalist opens the offer letter editor for the first candidate, fills CTC, lets the salary structure render, and uses Edit Content with AI to tighten the IP clause for the engineering role. The second offer reuses the template with the salary numbers swapped. The third, the designer, gets a slightly different role description, polished with the same AI button. All three offers leave by 4 pm.

The full offer letter feature page is here: offer letter generator for India. For the format itself, the offer letter guide for India covers what to include in a compliant offer.

Onboarding, with AI in the HR review

An offer accepted is not an offer closed. The next stretch, from acceptance to first day, is where small companies leak time. Documents do not arrive. PAN does not match. Bank details get typed wrong. Aadhaar copies are blurry. By the time payroll runs at the end of the month, half the new joiners have something missing, and the office manager is back on email.

The candidate self service portal

When you mark a candidate Onboarding in Offrd, the platform opens a self service portal for them. The candidate fills personal information, contact details, present and permanent addresses, emergency contact, identification, bank details and education history. Aadhaar and PAN have a Verify button that runs in real time. The candidate uploads a photograph and signs a declaration of truthfulness. Each onboarding costs 15 credits. The Auto Deduct toggle skips the credit confirmation for HR teams running large intakes.

HR controls the form before it goes out. Every field is set to Mandatory, Optional or Hidden in the form configuration. Education levels, employment history, relieving letters, experience certificates, payslips, bank statements, passport, driving licence and signature uploads are all toggleable. The platform does not insist on collecting anything you do not need.

AI Validate, on the HR review queue

When the candidate submits, the record lands in your HR review queue with a status of For HR Review. Without AI, you would scroll the form, look at each section, decide what is complete, and chase the rest by email. With AI Validate, a single click flags records where something looks off. A verification step that returned a mismatch. Fields that contradict each other across sections. Documents that are missing despite being marked Mandatory. The flags are the starting point, not the verdict. You decide which ones to chase and which ones are fine.

For a five person batch this might save you fifteen minutes. For a twenty person joining cohort, it changes the shape of the day.

Reference IDs and the audit trail

Every onboarding submission gets an auto generated reference, in a format like SEQUOR/2026/XXXX. The reference travels through the record. The status lifecycle moves from Sent to Candidate, to For HR Review, to HR Approved or Rejected. Preview, Approve, Resend and Download are available on each record. Archive moves a record out of the live queue without deleting the data.

Scenario

A Chennai logistics SME has 12 new joiners starting next Monday. The office manager opens the onboarding queue on Friday morning. AI Validate flags four records: one PAN that did not verify, two missing relieving letters and one mismatched address between Present and Permanent. She emails those four candidates with specifics, approves the other eight on the spot, and goes back to running payroll for the existing team. Without AI Validate, she would have spent an hour reading the same forms herself.

For more on the onboarding module, see employee onboarding software for India and the onboarding software overview.

Company profile, with AI on the description

Your company description prints on offer letters and other employee documents. It is the first thing a candidate reads, after the salary number. Most founders write a version of it on day one, never look at it again, and live with whatever they typed in five minutes.

The Company Profile screen has an Improve with AI button on the description field. Click it and the model rewrites your draft for the audience the document is meant for. It sharpens the phrasing without changing what your company actually does. Most teams use this once, when they set up the account, and forget it. The benefit is that every offer letter that goes out after that carries a paragraph that reads like someone wrote it on purpose.

The other parts of the company profile, logo upload, primary and secondary email, industry, address, PIN and state, are standard form fields. They drive the branding on payslips and letters. None of that uses AI. It is just configuration.

HR policies, with the questionnaire driven Policy Builder

POSH. Anti bribery. Social media. Health and safety. Intellectual property. Leave. Maternity. Remote work. The list of policies a small Indian company is supposed to have on file is long, and the bandwidth to write them is short. Most SMEs end up with a copy paste from a friendly competitor, or a thirty page PDF off the internet that has nothing to do with their actual practices.

The pre built library

Offrd ships with a library of policy templates calibrated for India: HR Policy Document (the master, combining sub policies), POSH Policy, Health and Safety, Anti Bribery and Anti Corruption, Social Media, and Intellectual Property. You can pick a template as a starting point and edit, or you can use the Interactive Policy Builder for the master HR policy.

The Interactive Policy Builder

This is the workflow that uses AI most directly outside the offer letter editor. The builder asks short business questions: Do you provide casual leave to employees? How many sick leaves per year? Do you have a remote work policy? Are interns covered under POSH? Each answer adjusts the policy text that the builder assembles.

The output lands in a rich text editor. Bold, italics, alignment, lists, tables and links are all there. The company name pulls in automatically. Each policy gets a Reference ID. Save it, and it shows up in the Saved Policies dashboard with version control, creation and last updated dates, and per policy actions for Edit, Download and Delete.

The point is not that the builder writes a finished legal document. The point is that you start from a draft that already reflects how your company actually operates, instead of a generic template you have to translate.

What runs without AI, and why that matters

The boring parts of HR software are the parts you trust. Statutory math, salary structure, payroll, attendance and document distribution all run on rules and configuration in Offrd, not on a model. This is a feature, not a gap. Anyone, including your CA or an inspector, can ask why a number is what it is, and the answer is in the configuration.

AreaHow it works in Offrd
EPF and ESI calculationEPF at 12 percent on each side. ESI at 0.75 percent employee and 3.25 percent employer when gross qualifies. Calculated each payroll run from the salary structure.
Professional TaxState wise slabs configured in the platform. The right slab applies based on the employee's work location.
GratuityComputed from Basic. Surfaced in the salary structure. Carries through to the offer letter and the Full and Final Settlement.
Salary structureBasic at 50 percent of CTC default, HRA at 40 percent of monthly Basic. An auto balancing Special Allowance reconciles the structure to total CTC.
Aadhaar and PAN verificationReal time, on the candidate self service portal. Returns a status indicator inline with the field.
Payroll cycleBulk generation across the workforce. Excel style grid for direct edits. Real time recalculation. Calendar Days or Working Days mode. CSV and EPF exports. Confirm Email Addresses modal before payslips are sent.
AttendancePowered by Atndnz inside Offrd. QR check in for office, GPS for remote, site proximity for field staff. Data ties back to payroll without a separate import.
Full and Final SettlementDedicated module. Earnings, deductions, gratuity, leave encashment computed from configuration. Settlement reference ID in the format OFFR/FNF/YYYY/NNNN. Status moves from Draft to Approved.
Document distributionAutomated email dispatcher with a preflight modal listing recipients. CSV and EPF export formats for compliance filings. Annexure II and III attached to offers automatically.

If the platform got an EPF calculation wrong every now and then, no AI feature would make that worth living with. The split between rule based math and AI assistance is what lets a small team trust both halves.

A typical week, walked through

To make this concrete, here is a week in a 60 person Hyderabad services company that runs HR on Offrd. The HR generalist is the only full time HR person.

Monday

Two new joiners. She opens the recruitment pipeline, finds them under the Onboarding tab, and reviews their submissions. AI Validate flags one record because the bank account number is missing. A short email goes out to that candidate. The other gets approved and added to the employee directory.

Tuesday

An offer needs to go out for a Senior Sales Manager. She opens the offer letter editor, picks the Default template, enters the CTC, lets the salary engine do its work, and uses Edit Content with AI to refine the role description and the variable pay clause. Annexure II and III attach automatically. Offer Valid Till is set to seven days from today. E sign and send. The whole exercise takes under fifteen minutes.

Wednesday

A probation period ends for an employee hired six months ago. She opens the Probation Letter under Quick Actions, picks Confirm from the lifecycle options, and the confirmation letter is generated and sent to the employee.

Thursday

The leadership team has decided to publish a remote work policy. She opens the Policy Generator, runs the Interactive Policy Builder with the questionnaire, edits the draft for two clauses that need company specific wording, and saves the policy with a Reference ID.

Friday

Payroll. She opens the payroll cycle for the current month, the grid loads with the workforce, she edits two employees who had loss of pay days, the system recalculates, and she sends payslips after confirming the email list. CSV and EPF exports go to the CA.

None of this required a separate document tool, a CA spreadsheet, or a chase email thread. The AI buttons sat where they were needed and stayed out of the way the rest of the time.

Who Offrd's AI features are designed for

The platform fits Indian businesses up to roughly 250 employees. Inside that band, the typical fits are:

The platform is not aimed at enterprises with hundreds of HR staff and bespoke ERP integrations. It is aimed at the segment where one person is doing the work for everyone, and an extra hour back per day is the difference between catching up and falling behind.

AI HR software vs traditional HRMS

A traditional HRMS holds employee data and runs scheduled processes. Payroll on the twenty fifth, EPF return after that, gratuity at exit. It does its job, but the writing and review still sit on you. Offer letters get drafted in Word, copied across files, tweaked clause by clause. Onboarding records get checked manually. Policies get written from scratch.

An AI HR platform adds drafting and review help on top of the same data layer. It is not a replacement for the rules. It saves you keystrokes and reads forms faster than a human would on a busy morning. For a company of fifteen to two hundred and fifty people, the value shows up in the letters and the onboarding queue, not in payroll math.

Offrd combines both layers. The data, salary engine, statutory math and document distribution behave like a regular HRMS. The four AI touchpoints sit in the screens where they save real time. You do not have to choose between the two categories.

Questions people ask before signing up

What is AI HR software

AI HR software adds drafting and review help on top of a regular HRMS. The data layer still holds employees, salaries and statutory fields. AI assists where the work is mostly writing or checking, like drafting offer letters, reviewing onboarding records or assembling a policy from a question and answer flow.

Where does Offrd use AI inside the product

In four spots. Edit Content with AI inside the offer letter editor refines a clause. AI Validate inside the onboarding HR review flags incomplete or inconsistent records. Improve with AI rewrites the company description on your profile. The Interactive Policy Builder uses a question and answer flow to assemble draft policy text.

Does AI in Offrd handle PF, ESI and TDS calculations

No. Statutory math is rule based. EPF is 12 percent on each side, ESI is 0.75 percent employee and 3.25 percent employer, Professional Tax follows the state slab and gratuity is computed from Basic. Rule based logic is auditable, which matters when an inspector or your CA asks how a number was arrived at.

Will AI write a complete offer letter for me

AI gets you most of the way. The template, salary structure, EPF, ESI and Professional Tax fill in from your inputs and Indian rules. Edit Content with AI then refines the wording inside the editor. You set Offer Valid Till, attach Annexure II and III, e sign and send.

How does AI Validate work in onboarding

After the candidate finishes the self service portal and uploads documents, the record lands in the HR review queue. AI Validate is a one click flag that surfaces records where something looks off, like a verification step skipped or fields that do not line up. You decide what to chase.

Is Offrd a chatbot for HR

No. Offrd does not put a chatbot in front of your employees. The output is a document, a record, a payslip or a settlement letter. AI helps you draft and review these. The final version goes out only after you approve it.

How is Offrd different from a traditional HRMS

A traditional HRMS stores data and runs scheduled processes like payroll. Offrd does that plus the writing layer. Offer letters, probation letters, increment letters, separation letters and policies are drafted inside the platform with AI assistance, instead of in a Word document on someone's laptop.

Is Offrd suitable for a company without a full time HR person

Yes. The flows suit a founder, an office manager or a part time HR who is doing the work between other jobs. Quick Add Employee, ready templates and the AI editing buttons take rote work out of the day. Setup is under two minutes.

How does Offrd handle Indian labour code requirements

Offrd issues an appointment letter for every hire and stores it under the employee record. Salary structure honours the 50 percent Basic default that helps the wage code threshold. PF, ESI and gratuity calculations sit inside the salary engine. The platform does not give legal advice, so a CA or labour lawyer should review your specific contracts.

How does Offrd pricing work

Two paid options. Pay per use is Rs. 99 per document. The subscription is Rs. 50 per active employee per month. New accounts get 50 free credits on signup. No credit card needed to start. Atndnz, the attendance app, is free for Offrd subscribers.

How long does it take to set up Offrd

Setup is under two minutes for the basic profile. Adding salary components, departments and locations takes a little longer depending on your structure. Most teams go from signup to a sent offer letter the same day. The Setup percentage indicator on the dashboard shows progress.

Can I see Offrd on my own data before buying

Yes. Sign up free and use the 50 credits on real records, or book a no commitment demo and a product specialist will walk through the offer, onboarding, payroll and policy flows on screen with your context in mind.
