A new salesman's appointment letter is last year's letter with the name changed. Sometimes the old salary survives the edit. The letter generates from the designation and CTC you enter. Salary heads auto balance, annexures attach, and the PDF goes out the same day.
Joining papers arrive as photos on WhatsApp. The Aadhaar photocopy lives in a drawer, if it arrived at all. Onboarding collects Aadhaar, PAN and bank details digitally and verifies them, with an AI check flagging mismatches before the file is accepted.

Salary is computed in a spreadsheet inherited from an accountant who left in 2019. PT deductions are a guess. Payslips compute EPF, ESI, gratuity and the exact Odisha PT slab per employee. The rules live in the software, not in cell formulas.
Leave is asked for across the counter and forgotten by December. Year end balances trigger an argument. Leave is applied in the app, one manager approves by email, and the ledger keeps itself. December closes without the argument.
When someone quits, dues are settled from memory and a final figure is negotiated at the door. The settlement module computes the full and final from the same salary heads as the payslip, with a reference ID and an approval step before payout.

Why the old way holds on in Cuttack, and what it quietly costs

The old way survives because it feels free. The register cost eighty rupees. The Word template costs nothing. The nephew who knows Excel is family. What does not show up on any invoice is the hour per letter, the compliance exposure, and the paper trail that is threadbare exactly when a labour inspector or a bank asks for it.

The exposure is not hypothetical. Every worker must receive a written appointment letter under the labour codes effective 21 November 2025, per the Ministry of Labour and Employment. Odisha employers must register as professional tax deductors and deduct the right slab each month, per the Odisha Commercial Tax department. EPF and ESI carry their own ceilings and rates, per the EPFO. A trading firm with 35 people on an informal register is carrying all of that risk to save one small subscription.

Less than the word "switching" implies. There is no implementation project and no consultant.
