HR software in Puri, mapped to a hospitality year

Puri's hotels, restaurants and travel operators hire in waves and shed in lulls. Offrd fits that rhythm: batch appointment letters when you staff up, GPS and QR attendance across properties, payslips with EPF, ESI and Odisha PT computed, and quick, clean settlements when the season closes. Rs 99 a document, 50 free credits to begin.

A Puri employer's HR calendar does not look like an office company's. It follows pilgrims and tourists, the winter high season, the Rath Yatra surge, the monsoon lull. So this page is organised the way your year is. Find the season you are in and read what the platform does for it.

Staffing up: before the winter season

The pre season hiring push is where paperwork debt gets born. Cooks, housekeeping, front desk, drivers, twenty people joining across six weeks, and in the rush, half get no letter at all. That debt now carries real weight, because a written appointment letter is mandatory for every worker under the labour codes in force since 21 November 2025, per the Ministry of Labour and Employment.

On Offrd the season's intake runs as a batch. Applications for each role go through Pre-Hire screening, which ranks the resumes before you interview. Each hire's appointment letter generates in minutes from designation and wages, and onboarding verifies Aadhaar, PAN and bank details from the worker's own phone. Twenty joiners stop being a fortnight of office work.

Verified identity carries extra weight in a pilgrimage town. Guests hand room keys and belongings to your staff, and the owner who can say every employee's Aadhaar and bank details were verified at joining sleeps differently from the one who collected photocopies. The verification happens once, at intake, and rides along in the record for every season the worker returns.

High season: running full and spread out

In season, a hotel's people are everywhere at once, kitchen, rooms, beach shack annexe, airport pickups. Atndnz, the attendance app bundled free with Offrd, holds the roster together. Staff at the property scan a QR at the service entrance. Drivers and outside crew check in by GPS, and geofences around each property keep the record honest. Existing biometric machines sync in rather than being discarded.

Shift heavy months also strain leave. Offrd keeps it minimal on purpose: a worker applies in the app, the one manager approves by email, the ledger updates. Come month end, recorded attendance flows into the payroll run untouched, which in peak months is the difference between a payday and a reconciliation project.

Festival surge: Rath Yatra and the short peaks

Rath Yatra compresses a season's intensity into days, and many Puri businesses take on short term help for it. Short tenure does not waive the paperwork. Fixed term staff need letters, their wages carry the same statutory lines, and under the labour codes fixed term employees accrue gratuity rights after one year, so terms need writing down correctly at the start.

The payslip engine applies ESI at 0.75 percent employee and 3.25 percent employer within the Rs 21,000 gross ceiling, EPF at 12 percent within the Rs 15,000 wage cap, and the Odisha professional tax slab published by the Commercial Tax department. Rate arithmetic is precisely the thing a manager should not be doing by hand in festival week.

The lull: monsoon months and clean exits

When occupancy drops, seasonal staff move on, and how that ends matters for whether they return next winter. The full and final settlement module gives each exit its own reference ID, computes dues from the same salary heads as the person's payslips, applies the standard deduction and payout lines, and holds at draft until approved. A cook collecting his settlement sees numbers that match his own slips. That is how a hotel builds the returning crew every Puri operator wants.

The lull is also housekeeping season for the employer. The policy builder drafts a POSH policy, essential where staff live on premises, plus leave and conduct policies from a questionnaire. Probation confirmations for the staff you kept, and any pending increment letters, clear in an afternoon.

Monsoon is equally the season to fix the deduction lines before the next rush. Odisha PT runs in bands, nil below Rs 1.6 lakh a year, Rs 125 a month to Rs 3 lakh, Rs 200 above that with Rs 300 in the closing month, and a hotel roster straddles all of them, from stewards to the manager. Setting each person's structure correctly in a quiet week means the December payroll, run at full occupancy, is just a button.

Year end: the accounts season

After the financial year closes, employees ask for Form 16, and a hospitality workforce scattered across seasons makes it a chore. Offrd generates it: upload Part A from TRACES, the platform builds Part B from each locked tax declaration, combines and sends. Company TAN and PAN need to be on record. Through the year, your accountant will have been working from EPF ready payroll files rather than rebuilding wage sheets, and the deposits and returns remain the accountant's job, done from clean numbers.

The cost across all these seasons: Rs 99 per document pay as you go, or Rs 50 per active employee per month, with 50 free credits at signup and Atndnz included free for paying users. A property that runs 30 staff in season and 12 off season pays for the people active that month, not a fixed floor.

4,000+ companies in 350+ Indian cities run their HR paperwork on Offrd.

The full Odisha slab table and the other city pages are on the state hub.

A worked example: an 18 room hotel near the beach road

Numbers settle arguments, so take a plausible property. Eighteen rooms, a restaurant, 26 staff in season and 11 through the monsoon. On the subscription, the season months bill 26 by Rs 50, which is Rs 1,300, and the lean months bill Rs 550. The year lands around Rs 12,000, with Atndnz included for every check in across kitchen, rooms and pickups.

Set against a hospitality year, that buys: the pre season batch of appointment letters done in two sittings, verified onboarding for each joiner, twelve payroll runs where EPF, ESI and PT compute themselves, a leave ledger that survives festival week, two or three settled exits with traceable dues, a POSH policy on file, and Form 16s issued after March without a scramble. The alternative spend is a part time HR helper for the season or a consultant on retainer, either of which costs more in a month than the software costs in a quarter.

The one thing the arithmetic cannot show is the returning crew effect. Cooks and housekeepers who were paid on slips, on time, with dues settled properly in June, answer the phone in October. Puri's good operators already know this. The software just makes it systematic.

Asked by Puri operators

Can the subscription flex with our seasonal headcount?

Yes. The Rs 50 rate applies per active employee per month, so the bill follows your roster down in the lull and up in season. Or skip the subscription and pay Rs 99 per document only when you generate.

Do live in staff need anything special for attendance?

No. A QR at the service entrance covers staff on premises. Geofencing helps where one team serves two nearby properties, so check ins land against the right site.

Is a POSH policy really required for a small hotel?

The POSH Act applies to workplaces, and hospitality's mix of live in staff, night shifts and guest contact makes a written policy and committee genuinely important. The policy builder produces one from a questionnaire in under an hour.

Many of our workers return each season. Do we redo their records annually?

No. The employee record persists. A returning worker gets a fresh letter for the new term in minutes, with their verified details already on file.

Tips and service charge make pay uneven. Does the payslip cope?

The payslip shows the salary structure you define, and variable components sit as their own heads. What matters statutorily is that EPF, ESI and PT compute on the right wage base, which the engine handles. Informal tip pools stay outside payroll, as they should.

What happens if someone leaves mid season without notice?

You still close it cleanly. The settlement module computes dues to the last recorded working day from actual payslip heads, so the file ends with arithmetic rather than an open quarrel.
