HR and payroll software for insurance agencies

Offrd costs ₹50 per active employee per month, with no minimum headcount. Branch staff mark attendance by QR, sales staff who visit clients check in by GPS, and all of them stay on one employee record with their appointment letters and payslips. An agency with 25 employees, 10 of them in the field, pays ₹1,250 a month.

Why is HR for an insurance agency split in two?

An agency has two kinds of people. Some work from the branch on policy servicing, renewals, calling and accounts. Others spend the day out with clients and turn up at the office for a meeting now and then, so the branch register tells you next to nothing about them. Pushing both groups through one sheet gives a lopsided picture of the month.

Offrd works for people on your payroll. Commission paid to agents who are not employees sits outside it, and so do the policy records themselves.

Pay is a patchwork as well. A branch manager, a telecaller and a sales executive usually sit on different salary structures. One spreadsheet with a column per person turns patchy and unwieldy fast.

How do you track attendance for sales staff who visit clients?

Each branch is a site with a name, a code, a location and a geofence radius. Branch staff mark attendance with the QR code at the entrance.

Sales staff check in by GPS within a 500 metre radius, or remotely from any location when the client meeting is somewhere that has no site. The live dashboard gives a plain view of daily logs and location summaries. Six reports are built in, among them Attendance Summary, Monthly Attendance and Field Work.

Telecallers and other shift staff get named shifts with a start time, an end time and a grace period. The roster takes a bulk CSV import, which saves a tedious afternoon when a new batch joins together.

Which letters does an insurance agency issue to its staff?

Under the Labour Codes in force from 21 November 2025, every employee must get a written appointment letter. A sales executive who joined last month is covered as much as the branch manager.

Offer letters, onboarding, probation, increment, experience and relieving letters all come from one generator, which beats a hodgepodge of Word files. The salary structure balances against total CTC, and the branch PIN code fixes the state for professional tax.

Onboarding verifies Aadhaar and PAN in real time, and letters go out for e signature. Offrd tracks probation confirmation dates and generates the letter when it falls due.

Payroll runs in a grid that edits like a spreadsheet, with the deductions and the payslip layout already wired in, so nobody tinkers with formulas at month end. Payslips can be sent as a batch.

When a salesperson leaves, settlement is one record: pro rated salary, leave encashment, gratuity eligibility, recoveries and exit payouts. It has 19 standard deduction heads and 13 exit payout heads.

The statutory part is calculated inside payroll and not submitted anywhere. Provident fund is 12 percent from the employer and 12 percent from the employee on the ₹25,000 wage ceiling, and ESI is 3.25 percent from the employer and 0.75 percent from the employee for as long as gross pay stays under ₹21,000. Professional tax comes from the state that the branch PIN code resolves to. Gratuity is wages times 15, times years of service, divided by 26. Filing returns is not part of it. The EPFO ECR and the TRACES 24Q stay with your CA, who receives the payroll in EPF return format.

What does Offrd not do for an insurance agency?

Policy records, renewal follow ups, your CRM and commission to agents who are not on payroll stay outside Offrd. It holds the staff record and nothing about your customers.

Performance reviews, OKRs, 360 feedback, expense claims, a helpdesk and an asset register are also absent. On the hiring side, Pre-Hire screens resumes before the interview, ranks them and suggests interview questions. The interview and the hiring decision stay with you.

Offrd also calculates statutory amounts and does not file them. If your main need is returns that file themselves, better to hear that now than after signup.

What do insurance agency owners ask?

How do sales staff who visit clients mark attendance?
By GPS check in within a 500 metre radius, or remotely from any location, from their own phone. The Field Work report keeps the record for the month.
Do telecallers on different shifts need separate setups?
No. Shifts are named schedules with a start time, an end time and a grace period, and each person is assigned one on the same roster. A bulk CSV import covers a batch of new joiners, so there is no slog of typing them in one by one.
Can Offrd pay commission to agents?
Offrd is for employees on your payroll. Commission to agents who are not your employees is outside it.
Do I pay separately for each branch?
No. Billing is ₹50 per active employee per month for the whole agency. Each branch is a site with its own geofence, and payroll runs in a single cycle. There is no seat block and no minimum headcount.
Does every employee need an appointment letter?
Yes. Under the Labour Codes in force from 21 November 2025, every employee must get a written appointment letter, including sales staff and telecallers.
What happens when a salesperson leaves?
Settlement is one record. Pro rated salary, leave encashment, gratuity eligibility, recoveries and exit payouts are tallied together, from the same pay heads as the payslips.
What does an agency with 25 employees pay?
₹1,250 a month on the subscription plan, which is ₹50 per active employee. It covers documents, EPF, ESI, professional tax and gratuity calculation, attendance and leave management. There is no setup fee.

How do you try Offrd on a sales team?

Signup brings 50 free credits, with no card. Make the branch a site, put two sales executives on GPS check in, and eyeball the Field Work report at the end of the month.

Statutory rates follow the published rules of the Employees' Provident Fund Organisation and ESIC, and the Labour Codes notified by the Ministry of Labour and Employment. Several limits vary by state. This is general information and not legal advice. Confirm your own position with your CA or legal adviser. Questions go to service@offrd.co.
