What is HRMS software, and how is it different from HRIS and HRM?
HRMS stands for Human Resource Management System. It is the software where employee records live and the monthly chores happen. Buyers also search for it as hrm software or an hrms system. The labels blur, so the table below separates them.
| Term | Full form | What it means in practice |
|---|---|---|
| HRM | Human Resource Management | The function itself: hiring, paying, and managing people. HRM software usually means any tool that supports it. |
| HRIS | Human Resource Information System | The record layer: who works for you, their role, pay, and history. |
| HRMS | Human Resource Management System | The record layer plus modules that act on it, such as payroll, attendance, onboarding, and letters. |
If what you need is mostly a clean employee record, our page on HRIS software covers that narrower job. This page is about the fuller set: the HRMS modules, what each costs, and which ones a company of your size will open every month. If you would rather see the modules laid out by how often you touch them, HR management software maps them to the HR calendar.
Which HRMS modules does Offrd include?
Every module below exists in the product today. On pay per use, each action draws credits, and ₹99 buys 10 credits. The ₹50 subscription covers unlimited offer letters, onboarding, probation, full and final settlement, payslips, and policies.
| Module | What it does | Credits per use |
|---|---|---|
| Employee database | Records with filters and search, bulk add by spreadsheet upload, archive without data loss | Free |
| Offer letters | Default, contract, and internship templates; CTC split with EPF, ESI, and PT by state; compensation annexure attached | 10 |
| Onboarding | Candidate fills their own joining form; Aadhaar and PAN verified in real time | 15 |
| Probation and increment letters | Confirm, extend, or reject probation; salary revisions and promotions | 5 each |
| Payslips | Monthly payroll run with statutory deductions, emailed to staff | 2 per employee, first use free |
| Separation and settlement | Resignation acceptance, experience and relieving letters; full and final settlement | 5 for exit letters, 10 for settlement |
| HR policies | POSH, HR policy document, social media, and more, built from a questionnaire | 10 |
| Attendance | Through the Atndnz app, free for Offrd users | Free |
Three more modules sit around that core. Form 16 lets you upload Part A from TRACES, generate Part B, and combine the two for each employee. Pre Hire parses resumes against a job description, scores each candidate, and suggests interview questions, and a hired candidate moves straight into an offer. The compliance calendar tracks EPF, ESI, and GST tasks by date, with an Overdue status and a mark as done button.
Start with employee onboarding software if hiring is your next pinch point, or the HR policy generator if your handbook is threadbare.
Payroll and HRMS in one place: how the monthly run works
For most buyers, payroll is the crux of any HRMS. Offrd builds the run on a salary structure you set once. Basic defaults to 50% of CTC, HRA to 40% of Basic, gratuity is worked out from Basic, and a Special Allowance balances automatically so every structure reconciles to CTC.
Statutory maths sits inside that structure. EPF is 12% from employer and 12% from employee on the EPF base. ESI is 3.25% employer and 0.75% employee on gross wages. Professional tax comes from a state wise slab table you can edit. Each employee has EPF, ESI, and pension toggles.
On payday you open an Excel style grid, adjust day counts, earnings, and deductions, and watch totals recalculate as you type. Validation warnings flag a Basic ratio outside compliance before it reaches a payslip. Choose calendar days or working days. When the sheet is right, generate payslips in bulk, check every recipient in a Confirm Email Addresses step, and send. CSV export and EPF data formats go to your CA for filing. Offrd does not file ECR, TDS, or ESI returns and does not disburse salaries.
Attendance feeds into this without a second vendor. The Atndnz app handles QR check in at the office, GPS tagged field work within a 500 m radius, remote work, and sync from biometric devices. The detail lives on the attendance management software page, and the payroll engine has its own payroll software for India walkthrough.
At year end, the Form 16 module takes each employee's declared tax regime, new or old, along with HRA, LTA, and Chapter VI A items. That declaration matters: the Income Tax Department notes that an employee who does not tell the employer their chosen regime is presumed to stay in the default new regime, and TDS is deducted on that basis. Form 16 itself is the certificate of tax deducted at source on salary that an employer gives each employee at the end of the financial year. Offrd needs your company TAN and PAN set up before Part B can be generated.
Which HRMS modules does Offrd not have, and does that matter?
A large HRMS sells a lattice of modules, and a company under 250 people rarely runs most of them. Offrd does not include these:
Performance cycles. No appraisal forms, OKRs, or 360 feedback. If you run formal ratings on a calendar, you need a suite that does.
ATS pipelines. Pre Hire screens and ranks resumes for a role. It is not a full applicant tracking system with job boards and multi stage funnels.
Expense claims. There is no reimbursement workflow.
Helpdesk. No ticketing for employee queries.
There are no multi level approval chains either. Employee self service is scant: in the Atndnz app, staff see their payslips, HR letters, profile, and attendance history, and that is the full list.
Does it matter? A founder who hires a handful of people a quarter does not need an appraisal engine. If you already run several of the modules above every month, buy the heavier system, and use the Keka vs Offrd comparison to see where the line falls.
How much does HRMS software cost in India in 2026?
Entry plans below come from each vendor's own pricing page. The last column prices a 30 person company per month, since sticker prices hide headcount floors.
| Vendor | Entry plan price | Limits at entry | At 30 employees |
|---|---|---|---|
| Offrd | ₹99 per document, or ₹50 per active employee per month | No minimum; billed monthly; 50 free credits | ₹1,500 |
| greytHR | ₹2,495 per month, up to 50 employees, then ₹45 each | 7 day trial, no free plan | ₹2,495 |
| Zoho People | ₹48 per user per month, billed annually (entry HR plan) | 5 user minimum; attendance starts on Professional at ₹96; payroll is a separate product, Zoho Payroll | ₹1,440, or ₹2,880 with attendance, plus payroll |
| sumHR | ₹49 per user per month, billed annually (Startup) | Annual billing | ₹1,470 |
| HROne | ₹4,950 per month for 50 users (Basic) | ₹99 per additional user | ₹4,950 |
| RazorpayX Payroll | ₹3,499 per month, up to 20 employees (Prime) | ₹150 per extra employee, plus 18% GST | ₹4,999 plus GST |
| Pocket HRMS | ₹2,995 per month, billed annually, for 50 (Standard) | 50 employee minimum; ₹60 per additional employee | ₹2,995 |
| Keka | No public price | Setup fee for guided configuration | Quote only |
Competitor prices checked on vendor pricing pages, 26 September 2026. RazorpayX shows ₹3,499 on its annual view. Prices change, so check each vendor's page before you commit.
At 30 people, sumHR and the entry Zoho People plan cost slightly less than Offrd's subscription, though Zoho's entry plan excludes attendance and payroll. Where Offrd pulls ahead is the floor: no 50 seat minimum, no annual lock in, and a pay per use option for months when you only issue a few letters. A 15 person team issuing three offer letters in a month pays ₹297.
How long does it take to set up an HRMS?
Some HRMS vendors charge to set you up. Keka's pricing page, for one, charges a setup fee for guided configuration of payroll and past salary data.
Offrd goes live in under 2 minutes. Register your company and add your logo, address, and PIN code. Add office locations and departments, then check the professional tax slab table for your state. Upload your staff by spreadsheet into the free employee database. Your first payslip run is free, so you can test the payroll maths on real names before you spend a credit.
There is no scaffold of consultants and no sign off gauntlet. If you outgrow it later, the subscription is billed monthly and you can switch plans anytime, so the foothold you build here is not a trap. For a wider view of the category, see our guide to HR software for India.
HRMS software questions from Indian buyers
What is the full form of HRMS?
HRMS stands for Human Resource Management System. It is software that runs the daily work of employing people: the employee record, payroll, attendance, onboarding, HR letters, and exit paperwork, in one login.
What is the difference between HRMS and HRIS?
An HRIS (Human Resource Information System) is the record layer: who works for you, in which role, since when, at what pay. An HRMS adds the operational modules that act on that record, such as payroll runs, attendance, onboarding, and letters. In everyday buying the two terms overlap, so check the module list, not the label.
Which HRMS software suits a growing company in India?
One whose modules match the work you already do each month, priced at your real headcount. If that work is letters, payroll with EPF and ESI, attendance, onboarding, and exits, a light HRMS such as Offrd fits. If you run formal appraisal cycles or keep a recruiter busy with a live pipeline, a larger suite with those modules is the better buy.
Does Offrd work out EPF, ESI, and professional tax in payroll?
Yes. EPF is set at 12% employer and 12% employee on the EPF base, ESI at 3.25% employer and 0.75% employee on gross wages, and professional tax comes from a state wise slab table. You can switch EPF, ESI, and pension on or off per employee.
Does Offrd file ECR, TDS, or ESI returns for me?
No. Offrd calculates the figures and exports payroll data, including EPF data formats, and your CA files with the government portals. The compliance calendar inside Offrd is a tracker for guidance only, with a notice on screen asking you to verify dates with your CA.
What would Offrd cost a company of 30 people?
On the subscription, ₹1,500 a month, which is ₹50 for each of 30 active employees, billed monthly with no minimum headcount. If you only need a few documents, pay per use instead at ₹99 per document. Either way you start with 50 free credits and no card.
Offrd covers HR documents, payroll, attendance, onboarding, policies, settlements, and Form 16 for growing companies in India. It does not run performance cycles, expense claims, or government filings. If those are your daily work, one of the larger suites named above may fit you better.
