HR Management Software, Organised Around the HR Manager's Calendar
HR management software should follow the rhythm of the job: attendance every day, payroll every month, letters at every hire, milestone and exit, and Form 16 every year. Offrd covers that calendar for growing companies in India at ₹99 per document or ₹50 per active employee per month, with 50 free credits.
4,000+ companies in 350+ Indian cities use Offrd, and offer letters worth ₹7 billion+ have gone through it. SoftwareSuggest Customer Choice and Best Support, Winter 2025.
What should HR management software cover, task by task?
Ask anyone who runs HR alone what the job involves and the answer is a calendar. Some work happens every morning, some on the last working day of the month, and some only when a person joins, crosses a milestone, or walks out. Good hr manager software follows that cadence, so nothing waits on your memory.
When you compare software for human resource management, ask any vendor to point to where each row of this ledger happens.
| Cadence | Recurring task | Where it lives in Offrd |
|---|---|---|
| Every day | Attendance: check ins, late marks, field visits | Atndnz app for employees, web admin at atndnz.offrd.co for you |
| Every month | Payroll run and payslip dispatch | Payroll grid with bulk generation and the email dispatcher |
| Every month | EPF, ESI and GST task ticks | Compliance calendar, a tracker rather than a filing service |
| Every hire | Screening, offer, joining form, ID checks | Pre Hire, offer letter generator, onboarding portal with Aadhaar and PAN Verify, AI Validate |
| Every milestone | Probation decision, increment, promotion | Probation letter (Confirm, Extend, Reject) and increment letter |
| Every exit | Resignation acceptance, relieving, experience letter, settlement | Separation letters and full and final settlement |
| Every year | Form 16 Part B, policy refresh | Form 16 module and policy generator with version tracking |
The Offrd dashboard keeps a brisk weekly count of the same work: active offers, people ready to onboard, pending confirmations, and payslips issued.
Every day and every month: attendance, payroll and the compliance tracker
Attendance is the only daily task, and it belongs on a phone. Employees mark it in the Atndnz app in one of three ways: scan a QR code at the office entrance, check in as remote work, or check in as field work, which is GPS tagged against a chosen service location within a 500 m radius. The app tags anyone Late after shift start, splits active work from break time, and syncs with biometric fingerprint and face devices if you already use them. You watch it on a live Today's Log in the web admin. Atndnz is free for Offrd users.
The same app also gives employees a small, useful foothold of self service. They can see their payslips, their HR letters, their profile and their attendance history, which trims the requests landing on your desk.
Month end is where a threadbare process shows its seams. In Offrd you open the month, bulk generate payroll, and correct day counts, earnings or deductions in an Excel style grid that recalculates as you type. Validation warnings flag problems such as a Basic ratio outside compliance before anything is final. EPF at 12% from employer and employee, ESI at 3.25% and 0.75% on gross wages, and professional tax by state slab are computed for you. When the numbers settle, the email dispatcher opens a Confirm Email Addresses list showing every recipient, editable row by row, before a single payslip is sent. Payslips carry your logo in a Standard or Classic template, and your first payslip is free.
The month also brings statutory dates. The compliance calendar lists EPF contribution payment, EPF ECR challan creation, ESI contribution and challan, GSTR 1 and GSTR 3B as recurring tasks. You filter by status or state, switch off tasks that do not apply, and mark each one done; anything missed turns Overdue. It is a tracker for guidance, and your CA still files. For the wider view of statutory upkeep, read HR compliance for growing companies.
Every hire: screening, a clean offer, and a verified joining form
Hiring arrives in spurts, so the tools have to work from a cold start. Pre Hire begins with a job description, takes PDF or DOCX resumes up to 10 MB, and scores each against the role on skills match, experience, project experience and an authenticity score. You get a Hire or Consider recommendation, the strengths and gaps behind it, and tailored interview questions you can export. The detail sits on the resume screening software page. Mark someone as hired, and from Offrd you can make the offer, start onboarding, or convert them to an employee.
The offer letter generator splits CTC into monthly and annual figures, works out EPF, ESI and professional tax by state, and attaches Annexure II (confidentiality) and Annexure III (compensation structure) without being asked. You set an offer valid till date and separate notice periods for probation and confirmed staff, then send it by email for electronic signature.
Onboarding is where records usually go wrong, through a typo nobody catches. The candidate fills a self service portal: personal details, emergency contact, bank details, UAN, plus Aadhaar and PAN with real time Verify. You decide which fields are Mandatory, Optional or Hidden. Before you approve, AI Validate runs a one click check that flags issues such as unverified IDs. Status moves from Sent to Candidate, to For HR Review, to HR Approved or Rejected, so you always know where a joiner stands.
Written terms at joining now carry statutory weight. The four Labour Codes took effect on 21 November 2025, rationalising 29 older labour laws, and they make appointment letters mandatory for all workers.
Every milestone and every exit: letters that fall due on a date
Milestones are the easiest work to forget, because nothing breaks on the day you miss one, and the damage shows up weeks later. The dashboard counts pending confirmations, and the probation letter generator offers three outcomes: Confirm, Extend or Reject. Pick one, adjust the template wording if you need to, and send.
Increments and promotions share one increment letter template. When you revise pay, the salary structure engine rebalances through an auto balancing Special Allowance, so the new structure reconciles to the new CTC. Watch the split as you do it. The Labour Codes FAQ from the Ministry of Labour explains that when allowances exceed 50% of total remuneration, the excess is added back to wages for statutory calculations. Offrd defaults Basic to 50% of CTC, and payroll warns you when the Basic ratio drifts outside compliance. Any structure you change is still yours and your CA's to ratify.
Exits bundle three letters and one calculation. Resignation acceptance, relieving letter and experience letter are templates you can edit and set as default. The settlement records paid days, actual against earned earnings, deductions such as PT, TDS, LWF, notice period recovery and loan or advance recovery, and other earnings such as gratuity, bonus and reimbursements. The same Ministry FAQ lists resignation among the events on which gratuity becomes payable, so that line deserves a fastidious check. A settlement moves from Draft to Approved, after which it is read only, carries a reference ID in the form OFFR/FNF/YYYY/NNNN, and produces a signed settlement letter PDF. The full sequence is on the full and final settlement software page. Archive the person afterwards and the record moves to inactive with no data lost.
Every year: Form 16 Part B and a policy refresh
The annual jobs are few, but they are heavy. Form 16 works per financial year. You enter monthly gross and TDS, with a fill all months helper to spare you the rote typing, then record each employee's declaration under the new or old regime, with HRA, LTA and Chapter VI A items, and press Save and Lock. Upload Part A from TRACES, generate Part B, combine the two (in bulk if you like), and send each employee their copy. Your company TAN and PAN must be set up first, and Offrd does not file anything. The steps are laid out on the Form 16 generation software page.
Policies go stale without anyone noticing. The policy generator builds a POSH policy, a master HR Policy Document with sub policies such as maternity, gratuity and remote work, and policies on health and safety, anti bribery, social media and intellectual property, all from a questionnaire you answer. Saved policies carry version numbers with created and updated dates, so a yearly refresh leaves a legible trail rather than a folder of files named final2.
What should a one person HR team not buy software for yet?
If you manage HR alone, or alongside finance or admin, three categories are usually premature for you, and Offrd does not build or sell them.
Performance cycles
Formal review cycles, OKRs and 360 feedback need managers who will run them. Until you have that scaffold, a direct conversation followed by an increment letter does the job. Offrd has no performance review module.
A full applicant tracking system
Pipelines with job board posting, interview scheduling and stage automation pay back when you hire every week. Pre Hire screens and ranks resumes against a role. It is not a full ATS.
Expense management
Claims, receipts and reimbursement approvals are a finance workflow. Offrd does not manage expenses. A settlement can carry reimbursements as a payout line, and that is the extent of it.
One more boundary: Offrd calculates and exports statutory figures, but your CA files the returns.
Pricing is simple. Pay ₹99 per document, or ₹50 per active employee per month on subscription with no minimum headcount, and switch plans whenever you like. The employee database is free. Signup brings 50 free credits, no card, and setup under 2 minutes. If you are still weighing products on price and company size, our guide to HR software for India covers that side of the decision.
Questions HR managers ask before choosing HR system software
What is HR management software?
Software that takes over the recurring paperwork and arithmetic of employing people: attendance, payroll, hiring and exit letters, statutory calculations, and annual tax forms. Offrd covers that work for growing companies in India at ₹99 per document, or ₹50 per active employee per month.
Is Offrd human resource management software for Indian rules?
Yes. It computes EPF at 12% from employer and employee, ESI at 3.25% and 0.75% on gross wages, and professional tax from a state wise slab table. Onboarding verifies Aadhaar and PAN in real time, and Form 16 Part B is generated from the gross, TDS and declaration figures you enter.
Does Offrd file EPF, ESI or TDS returns?
No. Offrd calculates the figures, exports CSV and EPF data formats, and lists due tasks in a compliance calendar that is meant for guidance. Your CA files the ECR, 24Q, ESI and professional tax returns.
Can employees see their own payslips and letters?
Yes, in the Atndnz app. Employees can see their payslips, their HR letters, their profile and their attendance history there. Atndnz is free for Offrd users.
Does Offrd run performance reviews or expense claims?
No. Offrd does not run performance review cycles, a full applicant tracking system, or expense management. It covers documents, payroll, attendance, onboarding, exits, Form 16 and HR policies.
