HRIS Software: The System of Record for Your Employees in India
HRIS software is the system of record for your people: who works for you, what they were offered, what they were paid, and what they signed. Offrd keeps that record for growing companies in India. The employee database is free, documents cost ₹99 each, or pay ₹50 per active employee per month.
Trusted by 4,000+ companies across 350+ cities in India. 50 free credits on signup, no card, setup under 2 minutes.
What records should an HRIS system hold for an Indian employer?
Strip away the vendor vocabulary and an HRIS is a ledger with a memory. It should tell you, on any given day, who is on your roll, how each person came to be there, what you agreed to pay them, what you paid, and what paper changed hands along the way. Human resource information system software that cannot answer those is a contact list with a login.
In India the list gets specific quickly. EPF, ESI and professional tax are calculated from salary components, and a letter is your evidence when someone disputes a date or a figure later. Each of those records has a home inside Offrd.
| Record | The question it answers | Where Offrd keeps it |
|---|---|---|
| Employee directory | Who is on the roll today, and who used to be? | Name, designation and date of joining per row; Active, Inactive and All filter; search; Archive moves a person to inactive with no data loss |
| Record audit trail | When did this person start, and when did the record appear? | Date of Creation set by the system, Date of Joining set by you |
| Joining data | Is the identity and bank information correct? | Candidate portal: Aadhaar and PAN with real time Verify, UAN, bank details, declaration, electronic signature |
| Salary structure | What did we agree to pay, component by component? | Basic, HRA, allowances and custom components that reconcile to CTC, with EPF, ESI and Pension toggles per employee |
| Letter history | What did we send this person, and when? | Per employee history of every letter issued, from offer to relieving |
| Payroll records | What was paid each month? | Monthly runs with Ready, Generated and Completed status; CSV export; EPF data formats |
| Form 16 | What tax was deducted over the year? | Per financial year, Part B generated and combined with Part A |
| Exit settlement | How did we close out the relationship? | Full and final settlement with Draft and Approved status; approved records are read only |
| Attendance logs | Who worked, where and for how long? | Atndnz reports: Attendance Log, Attendance Summary, Monthly Attendance, Field Work Attendance, Geofence Report |
Who should type the data into your HRIS software?
Most bad HR records are typing errors made by the wrong person. Someone keying a bank account number from a blurry phone photo gets a digit wrong eventually. The sturdier approach is to let the owner of the data enter it, then have HR check it.
That is how onboarding works in Offrd. The candidate gets a self service portal and fills in personal details, a photo, contact and emergency contact, Aadhaar and PAN, their UAN, and bank details. Aadhaar and PAN each carry a real time Verify step. The candidate ticks a declaration and signs with an electronic signature. You decide beforehand which joining form fields are Mandatory, Optional or Hidden, and which supporting documents to request.
Then HR reviews. AI Validate runs a one click check that flags compliance issues, such as an ID that has not been verified. Each record moves from Sent to Candidate, to For HR Review, to HR Approved or Rejected, and gets an automatic reference ID. The scaffold is brisk for the candidate and legible for you. The full walk through is on the employee onboarding software page. Onboarding costs 15 credits per person.
Moving an existing roster across? Add Bulk Employees takes a spreadsheet upload. For a single entry that needs no offer flow, Quick Add Employee captures the minimum fields and puts the row in the directory. Both routes land in the same place, which is the employee database, with the same search and filters.
An HRIS should remember what happened, not only what is true today
A spreadsheet stores the present. Delete a row for someone who resigned and every trace of them goes too, which is fine until a PF query arrives about a person you no longer employ. A threadbare record then costs you days. Offrd keeps history in four places.
- Archiving someone moves them to inactive. The record stays in the database and reappears when you switch the filter to Inactive or All.
- Every record carries an audit trail. The system stamps a Date of Creation when the row is made and you set the Date of Joining, so a record entered months after someone started shows as exactly that.
- Every letter Offrd issues, from the offer through probation and increment letters to separation letters, is logged against the person who received it.
- Outcomes get locked. A full and final settlement moves from Draft to Approved, and once approved it is read only, with a reference ID in the form OFFR/FNF/YYYY/NNNN and a signed settlement letter PDF. The full and final settlement page covers the calculation itself.
None of this is glamorous, but it lets you answer an awkward question from a document when nobody remembers the details.
Which HRIS records feed payroll and year end tax?
The record earns its keep when money moves. In Offrd, each employee carries a salary structure built from components you control. Basic defaults to 50% of CTC and HRA to 40% of Basic. Custom components can be a percentage of CTC or a fixed figure, and a Special Allowance balances automatically so the structure reconciles to CTC. Each employee also has banking fields and individual toggles for EPF, ESI and Pension.
Payroll reads from that structure. Offrd applies EPF at 12% employer and 12% employee on the EPF base, ESI at 3.25% employer and 0.75% employee on gross wages, and professional tax from a state wise slab table. Each monthly run carries a Ready, Generated or Completed status, and exports as CSV or in the EPF data formats your CA works from. Offrd calculates and exports; it does not file ECR or any other return.
At year end the same data becomes Form 16. You enter monthly gross and TDS per employee, with a fill all months helper to save typing, capture the employee's declaration under the new or old regime, then Save and Lock. Upload Part A from TRACES, generate Part B, and combine the two. Generation and combining also run in bulk, and the finished Form 16 goes to the employee from inside Offrd. Your company TAN and PAN need to be set up first. The steps are laid out on the Form 16 generation software page.
Attendance is the other feed. It runs on Atndnz, which is free for Offrd users, and on paid plans HR sees it at atndnz.offrd.co with the same login as Offrd. The roster holds reporting manager, work mode and shift per employee, and the attendance log exports as CSV. More detail sits on the attendance management software page.
A buyer checklist for any HRIS software in India
These questions separate a durable system of record from a brittle one. Ask to see the screen, not the slide.
- Which fields does each employee record hold? Look for identity, UAN, bank details, salary components and dates.
- How does data get in? A spreadsheet import, a quick single entry, and a way for joiners to enter their own details.
- How does data get out? Ask for export formats by name. Your CA cares about payroll CSV and EPF formats.
- What happens when someone leaves? The record should go inactive, not vanish.
- Is there history? You want past letters per person, past payroll months and a creation date the system sets, not one anybody can edit.
- Who can see what? Ask the vendor to demarcate what an employee sees about themselves and what administrators can see and change.
- What does the record cost to keep? Work out the bill at your headcount.
For Offrd, the tractable answers are these. Employees see their own payslips, HR letters, profile and attendance history in the Atndnz app, and nothing else. The employee database costs zero credits. Exports are the ones listed above. For anything the list does not cover, ask us directly in a demo or at service@offrd.co.
Where Offrd stops, said with some candor
Offrd is a record keeper with working tools attached, not a data warehouse. There is no custom report builder and no drag and drop analytics. For deeper analysis, take the exports into a spreadsheet or BI tool.
It also does not run appraisal cycles, file statutory returns, or disburse salaries. The compliance calendar is a tracker for guidance only; your CA still files. If you need the process side of HR covered more widely, read our page on HRMS software, and for the whole category start at HR software for India.
What you get in exchange is a scant bill. Keeping records is free. Documents cost ₹99 each on pay per use, or you pay ₹50 per active employee per month with no minimum headcount. Switch plans any time. Your first payslip is free, and 50 free credits arrive on signup with no card. Setup takes under 2 minutes, a cheap foothold to test.
HRIS questions, answered plainly
What is the full form of HRIS?
HRIS stands for Human Resource Information System. It is the software that holds your employee records and the documents, pay data and attendance history attached to each person.
What is the difference between HRIS and HRMS?
An HRIS is the information layer: records, history and exports. An HRMS usually wraps working processes around that record, such as payroll runs, onboarding and attendance. Vendors blur the line often. Offrd holds the record and also runs onboarding, payroll and attendance, so it sits between the two.
Is the employee database really free on Offrd?
Yes. Adding and keeping employee records costs zero credits. Documents cost ₹99 each, or you pay ₹50 per active employee per month. Signup includes 50 free credits and needs no card.
Can I import my existing employee spreadsheet?
Yes. Add Bulk Employees takes a spreadsheet upload and moves the rows into the directory in one pass. For a single person who does not need a full offer flow, Quick Add Employee captures the minimum fields.
Can employees see their own records?
Yes, through the Atndnz app. Employees can see their payslips, their HR letters, their profile and their attendance history. That is the full extent of employee self service.
Does Offrd have a custom report builder or HR analytics?
No. Offrd gives you exports: payroll CSV, EPF data formats, onboarding data as CSV or Excel, and attendance reports from Atndnz. Pivots and trend dashboards are built on those exports in your own tools.
Offrd covers employee records, HR documents, onboarding, payroll, Form 16, full and final settlement, attendance through Atndnz, and HR policies for growing companies in India. It does not file returns or offer custom analytics. If those are your priority, a larger suite may fit you better.
