What changes when HR moves off Word, Excel and the register?
Most growing companies do not start with HR software. They start with a Word template for offer letters, an Excel sheet for salaries, perhaps a desktop payroll tool on the accounts PC, and a register or punch machine at the door. It works until a second office opens, or the one person who understands the salary sheet moves on, because it was always a patchwork held together by memory.
A cloud HR system changes where the work lives. Records sit in one account you reach from any machine, and employees see their own documents without asking.
| HR job | On files, Excel or a register | In Offrd |
|---|---|---|
| Getting set up | Install a desktop tool on the one PC that runs it | Nothing to install for HR. Sign in from a browser. Setup takes under 2 minutes. |
| Attendance | A paper register, or punch data copied out by hand | Employees check in on the Atndnz app: QR scan at the office entrance, remote work, or GPS tagged field work. Biometric devices can sync into the app. |
| Offer letters | Copy last month's letter, retype the salary figures | CTC splits into monthly and annual figures, EPF, ESI and professional tax fill in by state, and the letter goes out by email with electronic signature. |
| Payslips | A formula sheet, then PDFs attached to emails one at a time | An Excel style payroll grid that recalculates as you edit, then an email dispatcher that lists every recipient for you to confirm before sending. |
| Employee questions | "Can you resend my payslip?" by email or chat | Employees see their payslips, HR letters, profile and attendance history in the Atndnz app. |
| Old records | Folders on whichever laptop HR used that year | A per employee history of every letter issued, and archived employees stay on record. |

Can one cloud HR system run several offices and field staff?
This is where a desktop tool or a register gets brittle fastest. A second branch means a second register and a second salary sheet to reconcile. Field staff rarely pass the front desk at all.
In the attendance admin, each office is a location with its own latitude and longitude and its own geofence radius, and locations can sit in more than one country. The live Today's Log shows who came in, at which location, through which gate and at what time, with IN and OUT counts per location and time zone tags for offices that sit outside India's time zone. Holiday calendars can be set per location, with national and state specific days.
Field staff check in with Field Work mode. The check in is GPS tagged, the employee picks the service location, and a 500 m proximity rule against that location guards against proxy attendance. You set the work modes each person may use, SIM binding, named shifts and grace period minutes before the Late tag applies. Reports cover the attendance log, monthly attendance, field work attendance and geofence activity, with the log exportable as CSV. The feature page on attendance management software goes deeper on shifts and check in modes.
Professional tax slabs are held state by state, so staff in two states still run through one salary engine. For regional pages, the state by state hub lists pages for each Indian state.
What happens to your HR records when a laptop dies or your HR person leaves?
Ask anyone who has rebuilt a year of payslips from email attachments. The records were never lost exactly, they were orphaned.
Offrd keeps the ledger in the account, whichever machine you sign in from.
When someone exits, you archive them and the record stays. They move to inactive with no data loss, and the Active, Inactive and All filter brings them back into view whenever you need an old record.
Every letter issued to a person, from the offer through probation, increments and separation, is listed against that person, so a new HR hire can read the trail on day one.
Each employee record carries two dates kept apart: a Date of Creation set by the system and a Date of Joining set by you. That small demarcation is a useful audit trail when someone asks when a record was entered.
Versions and locks apply where they count. Policies keep version numbers with created and updated dates. A full and final settlement moves from Draft to Approved, and once approved it is read only. Settlements and onboarding records get their own reference IDs.
The directory itself is covered on our page on employee database software, and it costs nothing: the employee database carries a credit cost of zero.
Can your data come back out?
The exports in Offrd are plain: payroll exports to CSV, EPF data comes out in specialised EPF formats, the onboarding candidate list exports to CSV or Excel, the attendance log exports to CSV, and the attendance roster supports bulk CSV import and export. Offer letters can be previewed, printed or downloaded as you issue them. There is no single button that dumps everything, so check the export you care about during your free credits.
How is cloud based HRMS priced when there is no server or licence?
A desktop tool meant paying for the software, the machine it ran on, and whoever kept both alive. Cloud pricing drops the hardware. Offrd gives you two ways to pay the usage fee.
| Plan | Price | Suits you when |
|---|---|---|
| Pay per use | ₹99 per document | You issue a handful of letters or payslips in a month and hire in spurts |
| Subscription | ₹50 per active employee per month, billed monthly | You run payroll every month for the whole team |
There is no minimum employee count on the subscription, and you can switch plans anytime. A few items cost nothing: the employee database, your first payslip, and the Atndnz attendance app, which is free for Offrd users (bought on its own, Atndnz is ₹9 per employee per month in India). Onboarding a new joiner uses 15 credits.
A quick sketch at two sizes. A 30 person company on the subscription pays ₹1,500 a month. A company that sends five documents in a quiet month pays ₹495 on pay per use. Signup includes 50 free credits and needs no card, so the first month can be a real trial on your own data.
If payroll is the main reason you are looking, our page on cloud payroll software walks through the monthly run in detail.
What a cloud HR system will not do for you
Knowing the limits before a demo saves everyone an hour.
It needs an internet connection, because HR work happens in a browser and employee check in happens in a phone app.
Offrd does not file returns. It calculates EPF at 12% employer and 12% employee, ESI at 3.25% employer and 0.75% employee, and professional tax by state slab, then exports the data. Your CA files ECR, ESI and TDS returns. The compliance calendar tracks due items such as the ECR challan, and says on screen that it is for guidance only.
The interface is English only.
It is sized for growing companies, with teams up to about 250 employees in mind. If you need modules beyond documents, payroll, attendance, onboarding and policies, compare dedicated HRMS software first.
Ask about hosting if you need it on paper. If your procurement team needs written details on where data is hosted or which certifications apply, email service@offrd.co before you sign.
How do you move your HR to the cloud, step by step?
The move is more tractable than it looks, because most of the data already sits in your Excel files.
Register the company
Sign up at the company registration page. Add your logo, registered address, PIN code, city and state. Setup takes under 2 minutes.
Sketch the organisation
Create your office locations by country, state and city, then departments and designations. Every later record hangs from this scaffold.
Bring employees across
Upload your existing staff list as a spreadsheet for bulk add, or use Quick Add for a few people. Set EPF, ESI and pension toggles per employee.
Set the salary rules once
Basic defaults to 50% of CTC and HRA to 40% of Basic, both editable, with a Special Allowance that balances so each structure reconciles to CTC. Enter your state professional tax slabs.
Switch on attendance
Import the roster to Atndnz by CSV, set work modes, shifts and geofences per location, and ask employees to install the app.
Issue something real
Use the free credits on an actual document. The offer letter generator is a brisk first test, since it touches salary structure, statutory figures and email in one go.
Questions about cloud based HR software
What is cloud based HR software?
It is HR software you use over the internet instead of installing on an office computer. Your employee records, letters, payroll and attendance sit in one online account. In Offrd, HR works in a browser and employees use the Atndnz mobile app.
Do my employees need to install anything?
Only the Atndnz app on their phone, which is free for Offrd users. They use it to check in and to see their payslips, HR letters, profile and attendance history. HR installs nothing and signs in from a browser.
Can a cloud HR system handle staff in several cities?
Yes. Each office is a location with its own geofence radius and holiday calendar, the attendance log shows IN and OUT counts per location with time zone tags, and field staff check in with GPS within 500 m of a service location.
Does Offrd file EPF, ESI or TDS returns?
No. Offrd calculates EPF, ESI and professional tax, exports payroll to CSV and EPF data formats, and tracks due dates in a compliance calendar meant for guidance. Your CA files the returns.
What happens to an employee's records after they exit?
You archive the employee, which moves them to inactive with no data loss. Their full letter history stays attached, and the Inactive filter brings the record back whenever you need it.
How much does cloud based HRMS cost with Offrd?
₹99 per document on pay per use, or ₹50 per active employee per month on subscription, billed monthly with no minimum employee count. Signup includes 50 free credits and needs no card.
Offrd covers HR documents, payroll, attendance, onboarding and policies for growing companies in India. Filing stays with your CA. If you need more than that, a broader HRMS may fit you better.
