How HR usually breaks in a project-driven studio

Architecture and interior design practices grow through project cycles. A studio that starts with three founding partners and a couple of interns will accumulate freelance draughtsmen, site supervisors, and contract designers over a few years. Most of those engagements happen on email or WhatsApp without a written letter. When a dispute or audit happens, there is nothing to point at.

Site attendance is the second pressure point. A team running three live sites and a studio cannot rely on a single biometric machine at the office. Staff phones with QR or location check-ins handle this without any hardware purchase.

Payroll under the Code on Wages 2019, in force from 21 November 2025, expects basic wages at roughly 50 percent of total wages. Studio salary structures that lean on conveyance and special allowances will need a rebuild. Offrd defaults new accounts to the 50 percent basic structure so you start aligned.

PF and ESI compliance for design studios is often patchy. Once a studio crosses 20 employees, PF applies. ESI applies on gross wages up to Rs.21,000 per month. Clean payslips with each deduction visible reduce the chance of an inspection notice.

What the New Labour Codes 2025 mean for design studios

India has consolidated earlier laws into four central Codes covering wages, social security, safety, and industrial relations. Studios that hire interns, site supervisors, draughtsmen, or contract staff are covered. The Code on Wages 2019 is in force from 21 November 2025.

Basic wage at roughly 50 percent of total wages The Code on Wages expects basic at about 50 percent of wages. Structures heavy on allowances need review. PF, ESI, and gratuity calculations all move with the change.
Attendance and working hour records The Occupational Safety, Health and Working Conditions Code expects proper attendance and working hour records for all employees, site staff included.
PF and ESI deductions deposited on time Once PF or ESI is deducted from salary it must be deposited correctly. Non payment after deduction is treated seriously and can attract stronger penalties for repeat cases.
Appointment, wage slip, and exit documents Studios are expected to issue clear appointment letters, wage slips, and exit documents so that wages and service terms are traceable in case of dispute or inspection.
Penalties that can affect small studios For different offences, penalties can move from smaller amounts around Rs.10,000 for first record-keeping failures to higher amounts in the lakh range, with stricter action for repeat issues or social security deductions not deposited.
Where Offrd helps Default 50 percent basic structure on new accounts, smart warnings if PF or ESI is not configured, digital attendance from sites and studio, and clean wage slips with statutory components visible.
